DEADLINE℠ / Legal information

Privacy Policy

Effective Date: November 3, 2026

Operated by Eternal Care Investments, LLC

1. Our Commitment to Your Privacy

At DEADLINE℠, we believe preparing for the future is one of the most thoughtful things you can do for the people you love. We also recognize that the information you choose to preserve with us may be among the most personal and meaningful information you will ever document. That trust is something we take seriously. DEADLINE is a personal planning and family-readiness platform operated by Eternal Care Investments, LLC, an Ohio limited liability company. Our purpose is to help individuals organize important information, preserve personal wishes, and provide greater clarity for loved ones when it matters most. This Privacy Policy explains what information we collect, how we use it, when it may be shared, how long it may be retained, and the choices available to you. This Privacy Policy should be read together with our Terms of Service.

2. Information We Collect

Account Information. When you establish an account, we may collect your name, email address, account identifiers, authentication information, membership and account status, and information necessary to administer your account.

Personal Vault Information. DEADLINE allows members to voluntarily organize and preserve personal information, including funeral, burial, cremation, and memorial preferences; personal wishes and instructions; obituary information, life stories, and personal memories; family members and emergency contacts; designated trusted individuals; insurance policies and financial account references; property and asset information; digital accounts, memberships, and subscriptions; pet-care arrangements; important possessions and sentimental items; personal messages intended for loved ones; and other information members voluntarily choose to preserve. Some information may concern other individuals, including family members, beneficiaries, and trusted contacts. You are responsible for determining what information is appropriate to record and for respecting the privacy and legal rights of others. DEADLINE is not a password manager. Do not store passwords, PINs, recovery codes, or complete login credentials in your personal vault.

Check-In Information. Members may establish a periodic check-in schedule of three, six, or twelve months. We may maintain records of selected intervals, check-in preferences, and confirmations voluntarily submitted through the platform.

Payment and Membership Information. When you purchase a membership, we may receive information necessary to identify your transaction, confirm payment status, establish account access, and administer your membership. Payment transactions are processed through third-party checkout services. DEADLINE does not independently determine all information collected by those providers during payment processing.

Website and Technical Information. Depending on the services and analytics features enabled, we may collect browser and device information, website visits and page interactions, referral sources and campaign identifiers, cookies and browser storage identifiers, and information associated with application functionality and performance. This information may be collected automatically when you interact with our website or application.

3. How We Use Your Information

We use personal information to operate and maintain DEADLINE and provide the services members request. These purposes may include creating and authenticating accounts; maintaining personal vault records; saving and updating planning information; recording check-in schedules and confirmations; facilitating authorized invitations and restricted information sharing; processing membership purchases and subscription access; providing customer support; maintaining application functionality; troubleshooting technical issues; improving website performance and user experience; detecting unauthorized activity or misuse; complying with applicable legal obligations; and responding to lawful requests and protecting legitimate rights. We do not use personal vault contents to determine eligibility for insurance, employment, credit, or other financial services. We do not treat a member's personal planning instructions as authorization to perform actions beyond the functionality and permissions actually provided by DEADLINE.

4. Ownership and Control of Your Information

Your life. Your wishes. Your decisions.

You retain ownership of the personal information and original materials you submit to DEADLINE, subject to any rights belonging to other individuals. Providing information to DEADLINE does not transfer ownership of that information to Eternal Care Investments, LLC. As described in our Terms of Service, you grant DEADLINE a limited right to host, store, process, display, and transmit submitted information as reasonably necessary to provide the services you request. You determine what information to preserve and, through available sharing features, which individuals may receive access to selected information. We encourage members to periodically review their records and remove information that is outdated or no longer necessary.

5. Trusted Contacts and Authorized Sharing

DEADLINE allows members to identify trusted individuals who may play a role in their personal planning. Simply identifying someone as a trusted contact, family member, beneficiary, or emergency contact does not automatically grant that person access to your account or vault. Where supported, members may create restricted invitations to selected vault sections. These invitations are associated with a designated email address, and recipients must authenticate using that email address before accepting an invitation. Access is limited to the information and permissions associated with the invitation. Members are responsible for selecting appropriate recipients and determining what information they wish to share. Recipients must not attempt to access information beyond their authorization. DEADLINE may restrict access when reasonably necessary to address suspected unauthorized activity, identity misrepresentation, or misuse.

6. Death Verification and Post-Death Information Access

DEADLINE was created with the understanding that personal planning information may become particularly important following a member's death or incapacity. However, the privacy and legal rights of account holders must be respected. DEADLINE does not currently provide an automated death-verification or post-death vault-release service. Naming a trusted contact, beneficiary, or potential recipient does not independently establish that individual's legal authority to access a deceased member's account. If future continuity or post-death release features are introduced, access may be subject to appropriate verification procedures, which could include verification of the requesting individual's identity; documentation establishing the account holder's death; confirmation of applicable legal authority; review of the member's documented permissions; and additional safeguards appropriate to the circumstances. These procedures will be governed by the terms and privacy disclosures applicable when such features become available. DEADLINE does not guarantee that a named individual will receive access to information solely because that person appears in a member's planning records. Requests involving deceased or incapacitated members will be considered in accordance with applicable law and the platform's available capabilities.

7. Check-In Preferences and Notifications

Members may save a preferred check-in interval and submit confirmations. Automated follow-up is optional and stays off unless a member separately opts in. When opted in, owner reminders are scheduled for the check-in due date, day 7, and day 14. If no confirmation is recorded, one neutral notice may be sent on day 21 at 9 a.m. in the member's chosen time zone, and only to the first approved contact. Before that contact can receive the notice, they must verify their email address and separately consent. If the contact's email address changes, verification is required again. Backup contacts are not automatically notified. Delivery is not guaranteed. Members may pause or cancel the protocol; resuming starts a fresh cycle.

A missed check-in means only that no confirmation was recorded. It is not evidence of death, incapacity, or an emergency. The protocol does not determine whether a member has died, perform welfare checks, contact emergency services, or release vault contents. DEADLINE is not an emergency response system or personal monitoring service.

8. When We May Share Information

We recognize that members may entrust DEADLINE with highly sensitive personal information. We do not make personal vault contents publicly accessible merely because a member establishes an account.

At Your Direction: When you use available features to authorize another individual to access selected information.

With Technology and Service Providers: We use third-party providers to support application infrastructure, authentication, payment processing, certain notifications, and website analytics. These providers may process information necessary to deliver their respective services.

To Comply With Legal Obligations: We may disclose information when required by applicable law, valid legal process, or a legally enforceable governmental request.

To Protect Rights and Safety: We may disclose information when reasonably necessary and legally permissible to investigate misuse, protect the platform, address security concerns, or protect the rights, property, and safety of individuals or organizations.

In Connection With Business Transactions: If DEADLINE or Eternal Care Investments, LLC undergoes a merger, acquisition, restructuring, sale, or transfer of relevant business assets, information may be transferred as part of that transaction, subject to applicable law and appropriate privacy obligations. Any recipient of such information would remain subject to applicable legal requirements governing its handling.

9. Third-Party Technology Providers

DEADLINE relies on selected technology providers to operate and support its services.

Convex: Provides application infrastructure, data management, and authentication functionality.

MadeThis: Provides hosted checkout and certain account, notification, and partner-related services.

PostHog: Provides website analytics and interaction measurement when configured and enabled.

These providers may process information according to their applicable agreements, privacy notices, and service terms. Their practices concerning storage, retention, security, and processing may differ from those of DEADLINE. We encourage users to review applicable third-party privacy notices when interacting with externally hosted services.

10. Cookies, Analytics, and Website Technologies

DEADLINE may use cookies, browser local storage, and similar technologies to support application functionality and understand how visitors interact with the website. When analytics are enabled, these technologies may help measure page visits, user interactions, and the effectiveness of marketing campaigns. Certain analytics or campaign identifiers may be included in links directing users to hosted checkout services.

Browser settings may allow users to restrict or delete certain cookies and stored information. Disabling some technologies may affect website functionality. Where applicable law requires consent or additional privacy choices for particular tracking technologies, DEADLINE will be responsible for providing the required disclosures and controls.

11. Information Security

We understand that protecting personal planning information is an important responsibility. DEADLINE relies on application infrastructure and third-party technology services to support the storage, processing, and management of member information. However, no internet-based service, electronic storage system, or method of transmitting information can be guaranteed to be completely secure. Members should protect their account credentials, use appropriate security precautions, and avoid including unnecessary sensitive information in their vaults. We encourage members to notify us if they suspect unauthorized account access or another security concern. Specific technical safeguards, encryption practices, access controls, and security certifications should not be assumed unless expressly confirmed and disclosed by DEADLINE.

12. Data Retention

We may retain information for as long as reasonably necessary to provide services, maintain account functionality, administer transactions, address legitimate business needs, and comply with applicable legal obligations. The appropriate retention period may vary depending on the type of information involved. For example, account records, payment-related information, vault contents, and technical records may be subject to different operational or legal considerations. Certain information may remain in backups, transaction records, or third-party systems after an account is closed or an individual record is deleted. DEADLINE does not guarantee immediate or irreversible deletion of all information from every system. Retention practices will remain subject to applicable law and the technical capabilities of the services involved.

13. Account Closure and Deletion Requests

Members may contact DEADLINE to request information about account closure, available deletion procedures, or the handling of their personal information. Requests may require appropriate identity verification to protect against unauthorized deletion or disclosure. Requests will be evaluated in accordance with applicable law, available technical capabilities, and legitimate record-retention obligations. Closing an account or canceling a subscription may affect access to stored vault information. Cancellation of recurring billing does not necessarily constitute a request to delete an account or its contents.

Members should preserve independent copies of important information before requesting account closure.

14. Your Privacy Rights and Choices

Depending on applicable law and the circumstances of your request, you may have rights concerning the personal information maintained about you. These may include rights to request access to certain personal information; request correction of inaccurate information; request deletion of eligible information; obtain information about certain processing or disclosure practices; and exercise applicable choices concerning marketing communications or tracking technologies. Some rights may be subject to identity verification, statutory exceptions, or other legal limitations. DEADLINE will evaluate privacy requests in accordance with applicable law. We will not unlawfully discriminate against individuals for exercising legally protected privacy rights. Questions or requests may be directed to the contact information provided at the end of this policy.

15. Information About Other Individuals

Members may voluntarily include information about spouses, children, relatives, trusted contacts, beneficiaries, or other individuals. Members are responsible for ensuring that their collection and submission of such information is appropriate and lawful. We encourage members to avoid including unnecessary sensitive information about third parties. Identifying another person in a vault does not automatically establish that person's consent to receive communications or grant access to the member's account.

16. Children's Privacy

DEADLINE accounts are intended for individuals who are at least 18 years old. Our services are not directed toward children under the age of 13, and we do not knowingly solicit account registrations from children under that age. Adult members may include limited information concerning children or other family members when reasonably necessary for legitimate personal planning purposes. If you believe a child has established an account or submitted personal information directly without appropriate authorization, please contact us.

17. Memberships, Billing, and Payment Information

DEADLINE may offer one-time memberships, recurring subscriptions, promotional offers, and other access arrangements. Payment processing is conducted through hosted third-party checkout services. We may receive transaction identifiers, purchase confirmations, membership status, and related information necessary to provide account access and customer support.

Payment providers may independently collect and process payment details according to their applicable privacy policies and contractual terms. Membership pricing, renewal conditions, cancellation procedures, and refund provisions are addressed in our Terms of Service and applicable checkout disclosures.

18. Service Discontinuation and Data Availability

Although DEADLINE is intended to serve as a dependable long-term planning resource, no technology platform can guarantee perpetual operation. If DEADLINE materially changes or permanently discontinues its services, the handling of member information will be subject to applicable law, contractual obligations, and the technical capabilities available at that time. Where reasonably feasible, DEADLINE intends to provide appropriate advance notice of a planned permanent shutdown and an opportunity for members to preserve or retrieve their information. However, advance notice or data export may not be possible in every circumstance, including certain emergencies, security incidents, or events beyond the company's reasonable control. Members are encouraged to maintain independent copies of essential records and legally executed documents.

19. Changes to This Privacy Policy

As DEADLINE develops, we may update this Privacy Policy to reflect changes in our technology, services, business practices, or legal requirements. When updates are made, the effective date displayed at the beginning of this policy will be revised. Where required by applicable law, material changes will be communicated through an appropriate notice or consent process. We encourage members to review this policy periodically.
